Studio Policy Agreement

Welcome! We like to keep things fun at Emi Piano Studio, but there are a few important details to cover (yes - the tuition agreement!).

Music learning works best when teachers, students, and parents work as a team. Our policies are designed to keep lessons running smoothly and enjoyable, while maintaining the high standards and quality of music education we provide.

Please read them carefully and confirm your agreement when booking a trial or signing up.

Joining the Studio
  • Trial Lesson: Trial lessons are available before adherence to the full studio terms and conditions below. Book a trial lesson (£20), and we'll be in touch to arrange (Private 1:1 lesson - 30 mins | Group Beginners - 60 mins).
  • After the Trial: If you enjoyed your lesson, we’ll confirm a weekly slot and provide Student Portal access. Everything is taken care of - AutoPay will be set up using the card details provided at the time of booking.
Monthly Payment Plan

How it works

  • Tuition fees are due on the 1st of each month to secure your child’s lesson slot in advance.
  • We offer a simple monthly payment plan to help you spread the costs evenly across the year.
  • Fees are calculated as: Lesson fee × 38 weeks ÷ 12 months. This means you’ll pay the same amount each month. Some months may have 5 lessons, some have 2, and August has none - but everything balances out over the year.
  • Please note: There are no lessons in August, but payments continue as the annual fee is split into 12 equal instalments.

PAYMENT METHODS

AutoPay (New Students from 1 April): All new students pay by AutoPay:

  • Payments are collected automatically on the 1st of each month
  • We cover all card fees (no extra cost to you)
  • By signing up and adding your card details, you authorise emipianostudio.co.uk to take monthly payments
  • Invoices are emailed for your records (no action needed) and are also available in your Student Portal.

Standing Order (Existing Students): Current students may continue paying by standing order on the 1st of each month.

Late Payments

  • Payments over 10 days late will incure a 10% late fee.
  • Repeated late payments may result in losing your lesson slot.

Fees and refunds

  • All fees are non-refundable and non-transferable (except between siblings).
Instrument Requirement
  • An upright acoustic piano or digital piano is required for all students. After the first lesson, a suitable instrument must be arranged so practice can begin straight away.
  • Beginners can start with a weighted 88-key digital piano (recommended), or a 61-key touch-sensitive keyboard as a short-term option if budget is a concern.
  • As students progress, we strongly recommend upgrading to a high-quality weighted digital piano, or an acoustic upright piano for greater tonal control, touch sensitivity, and musical expression.
Lesson Expectations

Punctuality and materials:

  • Please arrive on time with all materials in an A4 folder or bag, plus bottled water. Arrive no more than 5 mins early, as there is no waiting room. Lesson reminders (SMS/email) are sent 2 hours before.
  • Parents/guardians are not permitted in lessons to ensure students focus and excel. Siblings with back-to-back lessons may wait in the studio.
  • Please drop off and collect your child quietly and on time to minimise disruption and respect our neighbours.
  • Do not park in front of neighbours’ driveways.
  • Calls cannot be taken during teaching hours. Please text instead, but note I cannot reply while teaching.

Conduct & Care:

  • Shoes must be removed on arrival to protect piano pedals. Hands should be washed before leaving home or upon arrival. Nails must be kept short and clean (no false nails) for optimal playing.
  • Bottled water is permitted, but no food or drinks near the pianos.
  • We invest in premium Yamaha pianos, studio equipment and furniture. Any damage not covered by insurance must be paid for by the responsible party.
  • Tuition may be withdrawn for: disruptive behaviour, disrespect towards teachers or other students, failure to practise, hitting and banging on the piano(s), poor attendance, excessive cancellations, or repeated late payments. Fees are non-refundable.
  • Late Arrival Policy: Late arrivals will receive the remaining time only, as lessons must finish promptly for the next student.
Cancellations and Make-up Policy
  • We do not reschedule or refund missed lessons due to a full timetable and long waiting list. Your tuition fees reserves a fixed weekly slot.
  • If you cannot attend, please cancel via the Student Portal (Calendar tab). No need to message - the system notifies us automatically.
  • As an alternative to make-up lessons (optional):
    • 1:1 students may upload a video of their assigned pieces on Practice Space for feedback.
    • Group students may request a short teacher video for guidance and support on songs they need help with.
  • Repeated cancellations indicate the slot may not be suitable and may result in it being offered to a student on the waiting list.

Illness policy:

  • If you genuinely need to cancel (illness or emergency), please cancel your lesson in the Student Portal (calendar) asap.
  • On rare occasions, make up slots may appear in the Student Portal (Find & Book tab) if another student cancels.

    With 24+ hours notice:
  1. Check for available make-up slots first.
  2. Cancel your lesson to receive a credit.
  3. Use the credit to book a replacement (1:1 or group)
  • Credits expire after 30 days. Max 3 per academic year (or 1 per term).
  • No need to message - the system notifies us automatically.

Teacher Cancellation:

  • If a teacher cancels, a replacement lesson, reschedule, credit, or refund will be provided.
Studio Calendar
  • Our studio runs 38 weeks per academic year, aligned with Bromley school term dates. This consistency guarantees steady progress and lasting results.
  • Lessons run as normal on Monday bank holidays, unless you notify us of absence.
Practice expectations
  • Regular practice is essential for progress and long term success. Students are expected to practise consistently between lessons and attend every lesson.
  • Minimum expectations:
    • Beginners to early levels: 30 minutes, 4 times per week
    • Grades 3–8: 1 hour daily
  • Frequent cancellations or insufficient practice may result in termination, as we prioritise committed students and high standards. Exams must be earned through consistent effort over time, alongside a broad repertoire.
  • Students should prepare assigned pieces to be ready to be “passed” at the next lesson. Lack of practice may result in slow progress and remaining on the same pieces for weeks and make little progress.
  • If a child has a very full schedule of all sorts of clubs and activities and therefore cannot commit to regular home practice, piano lessons may not be suitable at this time.
  • According to our records, it is proven that students who frequently cancel, miss lessons, request reschedules, and/or practise very little make the slowest progress.
Pausing Lessons
  • We do not pause or “hold” lesson slots, due to a long waitlist of students ready to commit. If you stop lessons, your place will be released to the waitlist.
  • To pause or keep your slot during a break, payments must continue.
Termination of Lessons
  • A minimum of one month’s written notice is required to cancel or modify lessons. No refunds for unused lessons within the notice period.
Communication
  • We communicate via email, SMS, phone, studio newsletters and WhatsApp (07712-220 513).
  • Please ensure your contact details are up to date. We are not responsible for missed communications, payments, or lessons due to incorrect information.
Student Recitals
  • Our popular Student Recitals are a core part of our programme and offer a truly special opportunity for students to build confidence, stage presence, and performance skills. While formal with etiquette to learn, the event is relaxed and fun!
  • Ticket prices help cover venue and material costs: Adults £11.50 | Children and seniors £6.50 |Children under 5: Free
  • Next recital: Spring Recital: Saturday, May 9, 2026, Session 1: 3:00pm | Session 2: 5:00pm
Legal and Policy Information
  • Confidentiality: All studio materials and resources are provided strictly for enrolled families only and are protected under licensing agreements. They must not be shared, copied, or distributed without written permission.
  • Media Policy: Student photos and videos may be used for promotional purposes. Please indicate parental consent on the registration form.
  • Safeguarding and Certifications: All teachers hold Enhanced DBS certs. Miss Emi is Safeguarding trained (Child Protection in Education – Music), First Aid certified (St John Ambulance), a member of the ISM and EPTA UK, and holds public liability insurance. See our GDPR and Privacy Policy.
  • Cooling-off period: You may cancel within 14 days of registration for a full refund under the Consumer Contracts Regulations 2013. If lessons take place during this period, those lessons will be charged.
  • Changes to terms and conditions: Emi Piano Studio may update these terms and conditions at any time. Updated versions will be posted on this page.
  • Privacy & Data: By using our site and services, you consent to data collection in line with our Privacy Policy. We take reasonable steps to protect your information.
  • Intellectual Property: All content is owned by or licensed to the Studio and may not be used without written permission.
  • Limitation of Liability: The Studio is not liable for indirect or consequential losses. Liability is limited to the amount paid for services.
  • Governing Law: These Terms are governed by the laws of England and Wales.
